1. Who We Are

Smart Estate Technology Ltd is a Nigerian technology company providing real estate software tools under the Smart Estate brand. Our suite of products includes the Smart Estate IDX Plugin (WordPress-based property listing solution), Smart Estate CRM (lead and client relationship management), and an associated Customer Portal for subscription and license management.

2. What We Collect

When you use our services, we may collect the following categories of personal data:

• Account information, your full name, email address, and phone number provided during registration.
• Payment information, billing records processed securely by Paystack. We do not store card numbers or CVV details at any point.
• WordPress installation data, the URL and domain name of your WordPress site, collected solely for license validation purposes.
• Usage data, features you access, shortcodes you use, login timestamps, and other product interaction data to improve our services.
• Technical data, IP address, browser type and version, device type, operating system, and referral source collected via server logs and analytics tools.

We do not collect, store, or process any property listing data from your WordPress site. All listing content remains entirely under your control on your own server.

3. How We Use Your Data

We use the data we collect for the following purposes:

• To provide, maintain, operate, and improve our products and services.
• To process subscription payments and manage your billing account.
• To send transactional communications, product updates, security alerts, invoices, and support responses.
• To validate license keys against the domains they are registered to, preventing unauthorised use.
• To analyse aggregated usage patterns in order to improve product features and user experience.
• To meet our legal and regulatory obligations under Nigerian law.

We do not sell, rent, or trade your personal data to any third party for commercial or marketing purposes. Data is shared only as described in Section 6 (Third-Party Services).

4. Data Storage & Security

All customer data transmitted between your browser and our servers is encrypted using TLS 1.2 or higher. Data at rest is encrypted using AES-256 encryption on all storage systems.

Customer portal data is stored on servers hosted within Nigeria and the European Union (via Hostinger infrastructure), both of which maintain appropriate data protection standards. Our servers are protected by firewalls, intrusion detection systems, and regular security audits.

Payment information, including card numbers, CVV codes, and bank account details, is handled exclusively by Paystack and is subject to their privacy policy and PCI-DSS compliance programme. We receive only a tokenised transaction reference.

We retain active account data for the duration of your subscription. Following cancellation or account deletion, we retain personal data for 3 years to comply with financial and tax record requirements, or longer where required by applicable Nigerian law.

5. Cookies

Our website and customer portal use a minimal set of cookies. We do not use advertising or behavioural tracking cookies.

• Essential session cookies, required for secure portal login and session management. These cannot be disabled without breaking portal functionality.
• Analytics cookies, Google Analytics (with IP anonymisation enabled). These help us understand how visitors use our website. You can disable them in your browser settings or via Google's opt-out tools.
• Paystack payment cookies, set by Paystack during the checkout process and necessary for secure transaction processing. These are governed by Paystack's privacy policy.

6. Third-Party Services

We work with the following third-party service providers who may receive or process data on our behalf:

• Paystack, payment processing. Governed by Paystack's privacy policy at paystack.com/privacy.
• Google Fonts, web typography. Fonts are loaded from Google's servers, which may log your IP address under Google's standard policies.
• Google Analytics, anonymised web analytics. Data is aggregated and does not identify individual users.
• Hostinger, server infrastructure and hosting. Data processed under a data processing agreement.

We do not permit these third parties to use your data for their own marketing purposes.

7. Your Rights

Under applicable data protection law, including Nigeria's Nigeria Data Protection Act (NDPA), you have the following rights with respect to your personal data:

• Right to access, request a copy of all personal data we hold about you.
• Right to rectification, request correction of any inaccurate or incomplete data.
• Right to erasure, request deletion of your personal data, subject to legal retention requirements.
• Right to data portability, request a machine-readable export of your data.
• Right to withdraw consent, where processing is based on consent, you may withdraw it at any time.
• Right to object, object to processing of your data for marketing or profiling purposes.
• Right to lodge a complaint, raise concerns with the National Data Protection Commission (NDPC) of Nigeria or your local supervisory authority.

8. Children's Privacy

Our services are designed for and directed at business professionals in the real estate sector. We do not knowingly collect personal data from anyone under the age of 16. If we become aware that a child under 16 has provided us with personal data without appropriate consent, we will delete that data promptly. If you believe a child has submitted data to us, please contact support@smartestateio.com.

9. Policy Changes

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal requirements. When we make material changes, we will notify all active subscribers by email at least 14 days before the changes take effect.

The updated policy will always be available at this URL. Continued use of our services after the effective date of any changes constitutes your acceptance of the updated policy. We encourage you to review this page periodically.
